GENERAL TOURNAMENT MANAGEMENT

TOURNAMENT MANAGEMENT

These instructions represent a simplified version of the digital management of a tournament, exemplifying an 18-hole, one-day Stableford Net Individual tournament.

The tournament definition should be based on the pre-defined Terms of Competition.

In summary, the steps are:

  • Create the tournament and its definitions

  • Manage admissions

  • Update Tournament data

  • Create and publish the Draw

  • Set up how to record scores

  • Enter scores

  • Send scores to server

  • Publish results

IN DATAGOLF

SETTING UP THE TOURNAMENT

  • Tournaments/Results ->Tournaments -> New Tournament: define from Scratch or copy from existing tournament

Note:If copying from a previous tournament, it is still necessary to check all settings.s.

Under the method of creating a new tournament from scratch:

  • Define Course, nr. of holes and tees for men and ladies -> OK

  • Write the description, date and time of the tournamen

  • Define type (ex: Stableford Net), format (ex: Individual), status for handicap purposes (ex: HCP qualifying round Yes) and Handicap Allowance (ex: HCP Type 95%).

  • Save

  • Define Tournament criteria:
    a) Classification types: select the required classifications.  (See Predefined Classification Types)
    b) Untie Criteria: check the criteria for ties  (see Tie-Breaking)
    c) Admission Criteria: check the admission criteria

  • Save and Exit

ADMISSIONS MANAGEMENT

OPTION CREATE ADMISSIONS ONLINE

  • Create link: Tournaments/Results -> Links for Tournament Admissions -> New Tournament -> Select the Tournament -> link options configuration -> Save

    • Use the link from the website of the Club/Organiser:
      The link can be made available via the general Club/Organiser registration link list (See DGLinks Instructions) or through the specific Tournament registration link.
    • Tournaments/Results -> Links for Tournament Admissions -> Select Tournament -> Copy Link Site. (The link address must contain the Club’s/Organiser’s key.)
      The registration of players is done by accessing the admissions link page, using the player’s credentials (from myFPG), or if applicable, the Club credentials (from the Club Area).
  • Admitted Players Management:

    • Tournaments/Results -> Links for Tournament Admissions-> Select Tournament -> Admitted Players: It is possible to check, update, change, delete, update handicap (important when there is a cut ), register international players and export admitted players and their selections and observations.

ADMISSIONS

  • Tournaments/Results ->Tournament -> Select Tournament -> Admissions

Admissions option:

  • Import admissions:

    • From Link (Yes): admitted players are imported through the link previously defined.
    • From file (No): admitted players are imported from the selected file.
  • Manual admissions:

    • From local database: double click on the player’s name in the player’s list.
    • From server: use the server guest button and search.
    • By manually registering a foreign player, based on the handicap certificate from overseas, using the button International Players and filling in the data.

UPDATE DATA

During the preparations of a previously recorded competition, some manual updates are required for each specific competition, regarding:

  • Course Rating data, in case of a re-rating: Tournaments -> Change Tournament -> button next the course -> button Change/Update Course

  • Handicap data for Players: Tournaments -> Admissions -> Refresh Handicaps

CREATING AND PUBLISHING THE DRAW

  • Tournaments/Results ->Tournaments -> Select Tournament -> Draw -> Establish the draw definitions (type, time, gap)

CREATE DRAW

  • Define the general configurations, namely, tee type (Tee 1, 10, 1 and 10 or Shotgun) and gaps

  • Execute Draw -> Sort Draw -> Select the required options (select by random or by handicap and click on the intended group size -> OK

  •  It is also possible to make manual changes by dragging the players’ names into the draw.

  • Exit and Save

PUBLISH DRAW

Options for draw publication:

  • Link: Tournaments/Results ->Tournaments -> Select Tournament -> Draw -> Send Draw (See DGLinks Instructions)

Additional information on Datagolf’s options for sending the draw:

  • Version: allows to include and edit Draw Notes

  • Publish Draw without players: publishes the draw header without a players list (or deletes the draw previously published)

  • Publishes registrations without players: shows a list of admissions

  •  Sending the draw with an incomplete draw shows players with no tee time at the end of the list.

PRINT DRAW

  • Print: Tournaments/Results -> Tournaments -> Select Tournament -> Draw -> Print -> OK (define printer or PDF)

SETTING UP SCORE REGISTRATION

LIVE SCORING OPTION

If you choose to use the Live Scoring module: Tournaments/Results -> Tournaments -> Select Tournament -> Live Scoring and follow the instructions in the additional Live Scoring module. Return to the general tournament management instructions in Datagolf for the final steps of checking or changing the results status, sending the competition to the server and printing the results.

PRINT SCORECARDS AND MANUAL LABELS

  • Tournaments/Results ->Tournaments -> Select tournament -> Draw

Print Cards
Print Cards -> Select the required options -> OK -> Print

Print Labels
Labels -> Define the size of the labels and select the required options -> OK -> Print

HANDICAPS UPDATE

We recommend updating handicaps again, on the day of the tournament, with the updated handicaps of the day and before entering the scores:

  • Tournaments -> Admissions -> Refresh Handicaps button.

Note: There may be differences between previously printed cards or labels, so evaluate if reprinting is necessary.

REGISTER SCORES

Register Scores
Tournaments/Results -> Tournaments -> Select Tournament -> Scores: Standard input or Grid input:

  • Select each player, insert score hole by hole and save.elecionar cada jogador, digitar o resultado buraco a buraco e gravar

Check or select the status of the Score Status
By default, each score has valid status, but other options may be applicable – Disqualified/No Return with Result, Disqualified without Result, No Return and No Show. (See: Result Status)

SENDING COMPETITION

  • Tournaments/Results -> Tournaments -> Select Tournament -> Send to Server

The scores and classifications are sent to the server, making available:

  • A The publication of the official and pre-defined classifications, through DGLinks Links (see DGLinks Instructions), and to print Classifications;

  • The classifications can be added to the rankings, if applicable. (See Rankings);

  • The scores of the federated players are included in the handicap calculations, if applicable, at the end of the day;

  • The scores, in tournaments valid for handicapping, for calculation of the PCC at the end of the day.

The tournament should be sent to the server on the same day. Exceptional cases of first time sending at a later date require an authorization request, by sending an email to handicaps@fpg.pt.

(with date and name of the tournament, Club code, Tournament code and reason for delay). Pre-defined classifications for each tournament are published in the link. If you need to add classifications, in Datagolf, add that type of classification to the tournament and: Send to Server -> Resend only Tournament Classifications.

PRINTING RESULTS

  • Tournaments/Results -> Tournaments -> Select Tournament -> Results
    – Select the type of pre-defined Classification -> Print
